BASIC PURPOSE:  To operate and manage the operation and maintenance of photocopy equipment and to maintain and oversee copy job expense and income records.

 

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

 

·           Operates, maintains, troubleshoots, and repairs a variety of photocopy equipment.

·           Updates and maintains accurate records and logs of work completed and produces reports and invoices for customers and administrators.

·           Advises management as to proper cost recovery methods, calculates cost per copy, and ensures that operational expenses are covered.

·           Schedules work orders on a priority basis to ensure the jobs are completed in a timely manner.

·           Advises print job customers regarding best presentation and cost alternatives.

·           Requisitions, receives and dispenses copier supplies to agency personnel.

·           Maintains secure access codes for copier usage.

·           Provides partial supervision over subordinate Reproducing Equipment Operators performing similar work and trains back-up equipment operators.

·           Performs such maintenance as cleaning, oiling, and making minor adjustments.

DISTINGUISHING FACTORS:

 

Skill:  Requires skill in recommending routine changes in standardized operating procedures OR in retrieving, compiling, and reporting data according to established procedures OR in operating complex machines.

 

Knowledge:  Requires knowledge of business practices and procedures or technical training in a craft or trade, including working from detailed instructions, to apply knowledge in a variety of practical situations.

 

Impact:  Requires responsibility for contributing to agency objectives by ensuring the accuracy of support activities within one or more organizational units.  Errors at this level affect the work of others or have measurable monetary consequences, and require immediate verification and correction in order to complete succeeding work operations.

 

Supervision:  Requires partial supervision of other employees doing work which is related or similar to the supervisor, including assigning job duties, providing training, giving instructions and checking work.

 

Working Conditions:  Requires performing regular job functions in an environment which includes exposure to continuous physical elements or a number of disagreeable working conditions with frequent exposure to minor injuries or health hazards.

 

Physical Demands:  Requires medium work, including continuous strenuous activities such as frequent reaching, bending, or lifting as well as performing work activities which require fine manual dexterity or coordination in operating machines or equipment.

 

Communication:  Requires obtaining and exchanging information, referring inquiries to the appropriate source, or responding to questions from state employees or members of the general public.

 

Complexity:  Requires a combination of job functions to establish facts, to draw daily operational conclusions, or to solve practical problems.  This level also requires providing a variety of alternative solutions where only limited standardization exists.

 

Independent Action:  Requires making a limited number of choices in selecting among alternative courses of action under supervisory guidance and in performing job functions according to a variety of prescribed policies or procedures.

 

 

 

 

MINIMUM QUALIFICATIONS:

 

Education:  Associate’s degree in business management or related field.  Each additional year of approved formal education may be substituted for one year of required work experience.

 

Experience:  Two years’ experience in the operation of photocopy machines or similar reproducing equipment to include experience in managing related records of cost and income.  Preference will be given to candidates with experience in the operation of a cost recovery business.  Each additional year of approved work experience may be substituted for one year of required formal education.

 

License/Certification:  Possession of a valid driver’s license or access to transportation required.

 

RECOMMENDED WORK TRAITS:  Knowledge of the operation and maintenance of copy machines.  Knowledge of various chemicals, fixers, developers and papers used in copy machines.  Knowledge of computers in relation to modern photocopy equipment.  Knowledge of business management and cost recovery principles.  Skill in the operation and maintenance of copy machines.  Skill in making mathematical calculations.  Ability to plan, organize, assign and review the work of subordinates.  Ability to maintain and prepare records and reports.  Ability to follow instructions and to manage job junctions independently.  Ability to communicate effectively and courteously with customers and staff.  Ability to establish and maintain effective working relationships with fellow employees.  Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the agency appointing authority.
