BASIC PURPOSE:  To perform routine word processing duties by typing copy into a word processing system.

 

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

 

·     Types handwritten or dictated narrative into a word processing system.

 

·     Corrects formatting of draft narratives entered into a word processing system by other staff.

 

·     Enters and retrieves data from letters, reports, or other written documents.

 

·     Reviews typed input for accuracy and completeness before printing.

 

·     Sets formats electronically for typed copy and keys command to space, align margins and correct errors. 

 

·     Performs other clerical duties such as typing, maintaining appropriate records and files, answering telephone and reception as required.

DISTINGUISHING FACTORS:

 

Skill:  Requires skill in applying instructions to accomplish different job functions OR in operating machines for a variety of different purposes.

 

Knowledge:  Requires understanding and using business or trades vocabulary or basic arithmetic to perform standard operating procedures.

 

Impact:  Requires responsibility for contributing to agency objectives by ensuring the accuracy of support activities within one or more organizational units.  Errors at this level affect the work of others or have measurable monetary consequences, and require verification and correction in order to complete succeeding work operations.

 

Supervision:  Requires no supervision of employees or functions.

 

Working Conditions:  Requires performing regular job functions under good conditions in a safe working environment.

 

Physical Demands:  Requires light work, including continuous walking or operating simple equipment for extended periods of time as well as occasional strenuous activities such as reaching or bending.

 

Communication:  Requires obtaining and exchanging information, referring inquiries to the appropriate source, or responding to questions from state employees or members of the general public.

 

Complexity:  Requires a minimal combination of job functions, including performing frequently repeated tasks according to set procedures and standardized situations.

 

 

Independent Action:  Requires minimal choice in performing routine duties under immediate supervision and in following simple instructions according to standardized policies and procedures.

 

MINIMUM QUALIFICATIONS:

 

Education:  High school diploma, G.E.D., or its equivalent, including courses in office procedures, word processing, or typing.  Each additional year of approved formal education may be substituted for one year of required work experience.

 

Experience:  One year's experience in word processing. 

 

License/Certification:  None required.

 

SPECIAL REQUIREMENTS:

 

For appointment consideration, Word Processor Operator Trainee requires that applicants successfully participate in a written examination and straight copy typing exercise.  These examinations measure possession of knowledge, skills and abilities identified as necessary for satisfactory job performance by this class specification.

 

RECOMMENDED WORK TRAITS:  Knowledge of English grammar, spelling and punctuation.  Knowledge of commercial mathematics.  Knowledge of general office practices.  Ability to type rapidly and accurately.  Ability to follow oral and written directions.  Ability to recognize and correct spelling, grammatical and arithmetical errors.  Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the agency appointing authority.
